Do I Need a Professional Email Address for My Small Business UK?
If you have just registered a UK limited company or started trading as a sole trader, you are probably wondering whether your Gmail account is good enough. Since the 4th of March 2024, every UK limited company must give Companies House a registered email address by law. Do I legally need a professional email address for my UK limited company?
No, the law does not require a custom domain email. Every UK limited company must give Companies House a “registered email address” since the 4th of March 2024, but a monitored Gmail account satisfies that rule.
The requirement comes from the Economic Crime and Corporate Transparency Act 2023, which added section 88A to the Companies Act 2006. New companies must provide an email at incorporation. Existing companies must provide one at their next confirmation statement filed on or after the 5th of March 2024.
The legal test is whether the address is “appropriate”. That means Companies House emails reach a real person at the company. Gmail meets that test. A custom domain is not legally required.
The law cares about delivery. Customers, suppliers and banks care about a separate question, which is where the “professional” part comes in.
What counts as a “professional” email address?
A professional email address uses your own domain name, such as you@yourbusiness.co.uk, rather than a free service like Gmail or Outlook.
The setup is simple. You buy a domain, then connect an email service to it. Every email you send shows your domain in the address, which matches your website, invoices and branding.
There are two parts to the cost. A .co.uk domain costs roughly £6 to £22 a year from a UK registrar. The mailbox itself costs from around £5.75 per user per month with Microsoft 365 Business Basic, or £5.90 with Google Workspace Business Starter (both ex VAT, May 2026 prices).

Do customers really judge businesses by their email address?
Yes. GoDaddy reports that customers are 9x more likely to choose a business with a professional email address over one using a free service like Gmail.
UK research backs the broader point. A 2023 Statista survey found 67% of UK consumers said spelling mistakes were among the top three things that stopped them engaging with a branded email. Missing branded signatures and poor formatting were the next two.
The effect is felt most in three places. New customers comparing quotes assume mybusiness@gmail.com is a side hustle. Suppliers and trade accounts can refuse credit applications from generic domains. Bank and HMRC correspondence looks more credible from an address that matches your website.
Plenty of UK businesses trade from Gmail and do well. But if you want to be taken seriously from day one, this is one of the cheapest credibility upgrades available.
Do sole traders need a professional email address too?
Sole traders are not bound by section 88A. The rule only applies to limited companies. But the customer credibility argument applies just the same.
A sole trader using suzy@gmail.com for plumbing enquiries is harder to verify than one using suzy@suzysplumbing.co.uk. The cost is the same as for a limited company. For most sole traders, one mailbox is enough.
